Lesson 1.4: Exporting Files

   

 

 

In this exercise you will export an object to RTF format, export another object to Excel, and make a copy of a database that can be used in Microsoft Access 97.

1.                   

Open the Northwind Sample Database.

 

 

2.                   

Click the Reports object in the Database window and select the Sales Totals by Amount report.

 

 

3.                   

Click File à Export. Pick a save location on your computer and name the file Lesson 1.4 Sales by Amount RTF. Select Rich Text Format from the Save as type: combo box and then click Export.

Minimize Access, start Microsoft Word or another word processor, click File à Open and view the report you just saved:

 

 

 

5.                   

Close the word processor and return to Access’ Database window.

Click Queries in the Database window, and then select Sales by Year from the list of objects. Click the OfficeLinks pull-down arrow and select Analyze it with Microsoft Excel:

 

 

When prompted for the beginning date, type 01/01/1997 and click OK.

When prompted for the ending date, type 12/31/1999 and click OK.

You will see the following results:

 

 

 

6.                   

Close any open object windows so only the Database window is open.

Click Tools à Database Utilities à Convert Database à To Access 97 File Format.

 

 

7.                   

Choose a location on your computer to save the converted database, give it a meaningful name, and then click Save.

 

 

 

8.                   

When Access prompts you for your permission to continue, click OK in each window.

 

 

9.                   

Close Microsoft Access 2003.
