Lesson 4.1: Organizing Report Data

   

 

 

In this exercise you will experiment with a simple report using the sample database.

1.                   

Open the Lesson 4.1 file in the Section 4 folder of your Exercise Files.

 

 

 

2.                   

Open the Basic Customer List report in Design view.

Click and drag the Contact Name field from the customers window to the Detail section of the report:

 

 

Click the Contact Name label and change its font style to bold.

 

 

3.                   

Delete the City label and text box from the report. Then move the Country label and text box to the center of the Detail section.

 

 

 

4.                   

Right-click the Detail header of the report and select Properties. Adjust the Height to 1” and the Back Colour to 12345678:

 

 

(The colour can be picked by clicking in the Back Colour field and then clicking (). Choose a colour. The number 12,345,678 was picked at random for this manual, but in fact it is one of the 16.7 million capable of being displayed in Access. 0 is pure black, while 16,777,215 is pure white.)

 

 

5.                   

Close the Properties window and click the Sorting and Grouping button on the toolbar.

Pick City from the Field/Expression column and Ascending from the Sort Order column.

Set Group Header to Yes.

Set Keep Together to Whole Group.

 

 

 

6.                   

Double-click the new header (City Header) to open its Properties. Make the height 0.3” and set its colour to an even 10,000,000.

 

Close the Properties window.

 

 

7.                   

Click and drag the City field from the Customers table into the City Header:

 

 

 

8.                   

Delete the City text label, and then save the report design.

 

 

9.                   

Click View à Print Preview to see the formatted report.
