Lesson 2.1 Excel and Hyperlinks

   

 

 

In this exercise, you will insert a hyperlink into an Excel 2003 worksheet.

  

1.

To begin, start Excel 2003 and open the file named Practice 6 in your Excel 2003 Practice folder.   File->Open

 

This worksheet contains some basic data concerning the income and profit for a business. The total profit is calculated by subtracting cell D3 from cell D2 (total income – total expenses). The problem is that there are no details showing where the value for total expenses comes from. In fact, the total expenses are calculated on another worksheet.

 

For this exercise, you will create a hyperlink to the data that shows the details of how the total expenses are calculated.

To begin, right click on the cell with the words total expenses (D3), and choose Hyperlink from the menu options.

 

 

This will display the Insert Hyperlink dialogue box.

In the Insert Hyperlink dialogue box, click the Place in This Document button under the Link to: heading.

 

In the large center area, select Sheet2, and make sure that the reference entered into the text field labelled Type the cell Reference: is A1. The range containing the expense data is located in the upper left of Sheet2, so this is the spot we want the hyperlink to point to.

Next, click the Screen Tip button to display the Set Hyperlink ScreenTip box.

 

 

Type This hyperlink will display the expense data. In the ScreenTip text area.

 

Click the OK button when you are finished. When the ScreenTip box disappears, click the OK on the button in the Insert Hyperlink dialogue box. The words Total Expenses in cell D3 should now be underlined and have a bright blue colour.

If you let your mouse pointer hover over the hyperlink, you will see the screen tip appear in a small yellow box.

 

 

If you click on the hyperlink, the expense data in Sheet2 will be displayed.

 

 

You will notice that the back button (left arrow) on the web toolbar is highlighted in green. If you click the back button, you will return to the original worksheet.

From the original worksheet, (Sheet1), you can click the forward button on the web toolbar to return to the expense data on Sheet2. You can also notice that the Total Expenses link is purple, indicating that it has been followed.

 

 

 

7.

Save your work and exit Excel.
