Lesson 4.1: Advanced Calendar Options

   

 

 

Don’t you absolutely hate it when you forget someone’s birthday? Outlook has an option to ensure that never happens again: recurring appointments! This feature lets you set up an appointment, and then tell Outlook to regenerate that appointment on certain dates.

 

To get to this feature, open a new or existing calendar appointment. Then, click the Recurrence button on the toolbar, or click the Actions menu and click Recurrence.

 

Once you do this, this window will appear:

 

 

Here’s an overview of the options in this window:

-       Appointment time: This will default to the time you’ve chosen in the calendar.

o   You can set a start or end time by clicking on the drop-down arrows in each box.

o   Or, to save yourself some math, enter the start time and pick the duration from the drop-down menu to the far right.

-       Recurrence pattern: These options change depending on which radio button is selected.

o   Daily: You can set the appointment to recur every one to seven days or just on weekdays.

o   Weekly: Enter the number of weeks, and then pick the day.

o   Monthly: Enter the date and then the number of months (i.e., every 2nd month), or choose a certain day (such as the third Monday) of every month.

o   Yearly: Choose a certain date (such as November 11th), or a certain day of a month (such as the first Sunday of every November).

-       Range of recurrence: This will tell Outlook how long you want this appointment to recur for.

o   Start: This specifies the start of the recurring appointments. It will default to the day of the appointment you are currently editing.

o   End: You can choose no end date, or you can tell Outlook to create the last of the series on a certain date or after a certain number of recurrences.

 

Click OK to save the recurrence options, or cancel to discard your changes. Then click Save and Close on the main calendar window and you’re done! You’ll see that your recurring appointment has a different icon than the rest of your appointments. In the example below, a recurring appointment is circled in red. You can see that there is a circular double-headed arrow in the second line of the appointment.

 

If you’ve already set an appointment as recurring, you can open the appointment, open the recurrence dialog box, and click Remove Recurrence to delete the rest of the series. Then just click save and close to save your changes!
