Lesson 2.2: Manual Mail Merge

   

 

 

1.

Open Microsoft Office Word 2003. (If Word is already open, create a blank document.)

 

 

2.

Click the Tools menu, choose Letters and Mailings, and click Letter Wizard.

 

 

3.

Fill out the information in the first tab (Letter Format) with this information:

-          Date line: Check this box and choose any date style.

-          Check Include header and footer with page design.

-          Page Design: Contemporary Merge Letter

-          Letter Style: Full Block

Then, click to the Other Elements tab (we’re going to skip the Recipient Info tab).

Check Reference Line and choose RE: from the drop-down menu.

 

 

 

5.

Click the Sender Info tab. Fill it in with this information:

 

-          Sender’s Name: Your name

-          Return Address:

Dinosaur Appreciation Club

425 Broadway Avenue

New York, New York

87654

-          Complimentary Closing: Yours truly

-          Job title: Secretary

 

Then, click OK to return to your document.

 

 

 

 

6.

Click the Tools menu, choose Letters and Mailings. Click on Show Mail Merge Toolbar if it is not already checked.

 

 

 

7.

Click the Open Data Source button () on the Mail Merge toolbar.

Open your My Addresses database from the desktop, or open the one in the Sample Files folder.

 

 

 

8.

Place your cursor at the beginning of the line that starts with RE:.

Press enter twice, and then move back up two lines.

Click the Insert Address Block () button on the Mail Merge toolbar.

 

 

 

9.

In the Address Block dialog, choose Mr. Josh Randall Jr. for the name format.

Uncheck Insert company name and Format address according to the destination country/region.

Click OK.

 

 

 

10.

Next to RE:, type Annual Dinosaur Awards. Press Enter.

Click where it says Type your text here and type: This is to inform all the residents of Bedrock that Dino has been named Most Outstanding Dinosaur of the Year! This year, the Dinosaur Appreciation Club looked at nominations for over a hundred dinosaurs across the continent. Dino was chosen for his love of children and his helpful nature.

 

 

 

11.

Click the Merge to New Document button () on the Mail Merge toolbar.

In the Merge to New Document dialog, click OK.

 

 

 

 

12.

Save the merged document as Dinosaur Merge.

Close Microsoft Office Word 2003.
