Lesson 1.4: Other Macro Tasks

   

 

 

If you use a macro often, you may find it too cumbersome to navigate to the Macros dialog box, choose your macro, and then run it. In this case, you can add your own key combination to run your macro.

 

To start this process, click the Tools menu and click Customize. In this dialog, click the Commands tab and then click the Keyboard button.

 

 

In this dialog, scroll to the bottom of the Categories window and click Macros. Then, in the Commands tab select the macro you want to assign a keystroke to.

 

 

Next, click in the text box labeled Press new shortcut key. Now, press the keys on the keyboard that you want to use for your macro.

 

 

If you want to change these keys, just delete the entry out of the Press new shortcut key dialog box and try another key sequence.

 

The dialog box will tell you what those keys are assigned to and where it will save the changes. If this is OK, click the Assign button at the bottom of the screen. Now, your keyboard shortcut will appear in the Current keys section of the dialog box.

 

 

If you change your mind about the key sequence, you can click the Current keys entry, delete it out of the Press new shortcut key box, enter another sequence, and click Assign. (If the original sequence overwrote another command, that command will be restored once this macro is no longer using those keys.)

 

Now, just click Close twice to return to the main editing screen. (Recording will automatically begin.)

 

You can also assign a keyboard shortcut to the macro when you’re creating it. In the Record Macro dialog, click the Keyboard command.

 

 

This will open a modified version of the Keyboard dialog we looked at earlier:

 

 

The concept is the same: select the macro you want from the Commands list. Then click in the Press new shortcut key text box and press the shortcut keys you want. Finally, click Assign to complete the operation and click Close to return to recording your macro.

 

Remember that you can assign keyboard shortcuts for any or all of your macros to make running them easy!
