Lesson 1.4: Customizing Toolbars and Menus

   

 

 

If you just want to re-arrange commands in a particular menu or toolbar (rather than adding your own commands or creating your own menu or toolbar) there’s also any easy way to do that.

 

First, click the Tools menu and click Customize. Then, click the Rearrange Commands button, like this:

 

 

Once you click that button, you’ll see the window pictured below. The first section of this window allows you to pick whether you want to modify a menu or a toolbar. After you have chosen what you’re going to modify, you can pick which menu or toolbar you are going to change. (The list will be limited to the menus and toolbars you have displayed. For example, if you have not added the Font menu to your layout it will not be in the Menu Bar list.)

 

The neat part is, you can modify not only the standard menu and toolbars, but also sub-menus and sub-toolbars. For example, you can change what order picture types appear when you click the View menu and click Picture. You can even re-arrange the order that menu commands (File, Edit, View, etc) appear on your screen by choosing Toolbar and choosing Menu Bar from the drop-down list.

 

Once you have chosen your toolbar or menu, its commands will be shown in the large white window titled Controls (labelled with a 2 in the sample above). You can then use the buttons on the right hand side (marked with a 3) to delete that command, move it up, or move it down. You can also click Modify Selection to change the button or text for that menu command. You can even add hyperlinks to buttons using this menu!

 

If you click the Add button, you will get a miniature version of the Commands tab of the Customize window. From this window, you can choose a category on the left, and then pick a related command on the right. (You can only choose one command at a time.) Pick the command that you want and click OK for it to be added to the menu or toolbar that you are modifying.

 

If you want to reset a menu or toolbar to its default state, just choose it from the top portion of the box, and click the Reset button in the bottom left hand corner of the Rearrange Commands window. (That button is marked with a 4 in the sample on the previous page.)

 

Once you’re done making your changes, click Close and then click Close again. That’s it! Your changes will automatically be applied to all open Word windows, and will be saved for whenever you open Word in the future.
