Lesson 3.3: Inserting Pre-Defined Text

   

 

 

You can, of course, add your own entries to AutoText. To do so, first type and select the text you want to add. (Formatting for text should be retained, although paragraph elements like spacing won’t be.) Then, use one of these commands:

 

-          Click New on the AutoText toolbar

-          Click the Insert menu, click AutoText, and click New

-          Use the Alt + F3 shortcut.

 

Once you have performed one of those commands, here’s what you will see:

 

 

This is how your AutoText entry will appear in the AutoText list; you should leave the text in the white box as is. Then, click OK to complete the process.

 

The next time you start typing that phrase, Word will offer to AutoComplete it for you:

 

 

You can press Enter to insert the formatted text just like a default AutoText entry.

 

If you want to modify your AutoText options, use one of these commands:

-          Click the Tools menu, choose AutoCorrect Options, and click the AutoText tab

-          Click the Insert menu, choose AutoText and click AutoText

-          Click the Properties button () on the AutoText toolbar.

 

Once you have done that, this dialog will appear:

 

 

You can turn off AutoComplete suggestions (the gold bar above text) by unchecking the first box. You can add AutoText entries in here by typing in the text box marked with a 3 and clicking Add. (You can also click Add if you have text selected in your document.)

 

All AutoText entries are listed in the box marked with a 3 in the sample above. You can pick any of these entries and delete or insert them using the buttons on the right hand side (marked with a 4). You can also show the AutoText toolbar using the Show Toolbar button at the bottom of the button list.

 

If you select an AutoText entry, a preview of it will be show in the box labelled 5. And, you can choose where to look in (all active templates or just normal.dot) using the drop-down menu at the bottom of the window.

 

AutoText entries are like AutoFormat and AutoCorrect; the settings are stored in normal.dot so they are available to you in all documents.
